How to Never Forget a Birthday or Anniversary Again

There’s a special kind of panic that comes with realising someone’s birthday is tomorrow.

Especially when you’ve known that person’s birthday for approximately 15 years.

It’s not that you don’t care. You do! You’ve just got approximately 400 other things floating around your brain, and somehow buying a birthday present has slipped to the bottom of the list. Again.

And don’t even get me started on anniversaries 🥴

The annoying thing is, remembering the date is only half the job. There’s still the present to choose, the card to buy, the delivery to organise and the inevitable question of whether it’ll actually arrive on time.

What should be a lovely opportunity to celebrate someone can quickly turn into another thing on an already overflowing to-do list.

If you’ve ever wondered how to remember birthdays and anniversaries without constantly scrambling at the last minute, you’re definitely not alone.

The good news? You don’t need an incredible memory or a colour-coded spreadsheet to stay on top of it all.

A few simple habits can make remembering birthdays, anniversaries and other special occasions a whole lot easier.

And if you’d rather not organise everything yourself? Well, there’s an option for that too.

1. Get All Those Important Dates in One Place

First things first. Where are you currently keeping track of everyone’s birthdays and anniversaries?

Your phone calendar? Facebook? A notebook somewhere? Or are you just relying on your memory and hoping for the best?

No judgement 😂

The problem with having important dates scattered across different places is that it’s ridiculously easy for something to slip through the cracks.

Start by creating one master list of the occasions you want to remember. Birthdays, anniversaries, graduations, Mother’s Day, Father’s Day — whatever matters to you and the people in your life.

You don’t need anything fancy. A calendar, spreadsheet or notes app will do the job.

Make it easier: Set recurring calendar events for birthdays and anniversaries so you don’t have to enter them again every year. Just remember to update the list when new people or occasions come into your life.

2. A Reminder on the Day Is Already Too Late

You know what’s not particularly helpful?

Your phone cheerfully reminding you that it’s someone’s birthday. Today.

Fantastic. Thanks for that 🙃

Unless you’re planning to send a quick message and call it a day, remembering the occasion is only the beginning.

You still need time to think of a gift, find somewhere to buy it, place the order and allow for delivery.

And if the person lives overseas? That’s a whole other level of organisation.

Instead of setting one reminder on the actual date, try setting two:

  • Two weeks before: Start thinking about the gift and organise what you need.

  • On the day: Remember to send a message, make a call or celebrate!

For personalised gifts or international deliveries, you might need even more notice.

Make it easier: Set your reminders to repeat annually. It’s a tiny bit of effort now that could save you a lot of last-minute scrambling later.

3. Keep a Running List of Gift Ideas

Ever had someone casually mention something they’d love, only to completely forget what it was when their birthday rolls around?

Yep. Same.

The best gift ideas often come up when you’re not actually shopping for a gift.

Maybe your husband mentions a gadget he’s been eyeing up, your mum talks about a restaurant she’d love to try, or your best friend points out something she likes while you’re shopping together.

Write. It. Down.

Keep a little note on your phone with gift ideas for the people you regularly buy for.

It doesn’t have to be organised or particularly pretty. Just somewhere you can quickly jot things down before they disappear into the depths of your brain.

Make it easier: Add gift ideas to your notes as soon as someone mentions them. Future you will be very grateful.

4. Stop Starting From Scratch Every Year

Birthdays and anniversaries aren’t exactly unexpected events.

They happen every single year. On the same date.

And yet, somehow, they still manage to sneak up on us 😂

Instead of starting from scratch every time, try planning your recurring occasions in advance.

At the beginning of the year, take ten minutes to look through your calendar. Think about who’s celebrating a milestone birthday, which anniversaries are coming up and whether there are any particularly busy months ahead.

You don’t need to buy every gift in January. Just having a rough idea of what’s coming can make the whole process feel much more manageable.

Make it easier: Keep a record of what you’ve given people previously. It’ll save you wondering whether you bought your dad that same book last year.

✨ 5. Or You Could Just Let Someone Else Take Care of It ✨

Of course, you could do all of the above.

Set up the calendars, keep the lists, organise the reminders, research the presents, place the orders and cross your fingers that everything arrives on time.

And if that works for you, brilliant!

But if you’re anything like me, gifting is one of those things that somehow always ends up on the to-do list. And then gets pushed down the to-do list. And then suddenly it’s tomorrow 🙃

That’s actually why I created Gift Pilot.

I love giving thoughtful presents. I just don’t particularly love all the admin that comes with them.

So I built a service that helps take care of it.

You add the people and occasions you want to remember, tell us a little about what you’re looking for, and Gift Pilot helps organise the rest.

Know exactly what you want to send? Great. You can schedule it.

Haven’t got a clue what to buy? That’s fine too. We can help find something thoughtful.

And when the occasion comes around, we’ll take care of organising and sending the gift.

Because remembering someone’s birthday shouldn’t feel like another job.

You don’t need a perfect memory to be a thoughtful gift-giver.

A few simple systems can make a huge difference. Keep your dates together, plan ahead and write down those brilliant gift ideas before you forget them.

And if you’d rather take the whole thing off your plate?

Well, now you can 💙
